Let’s get your onboarding project defined!
Definitions
To get you up and running in SecureClose V3, two core components need to be fully understood and defined as part of your project: Documents and Flows.
- Documents: If at any time in the future, you intend to send a document to SecureClose V3, there must first be a corresponding Document template set up in your account. Think of this like a document library; you don’t need to send every document set up in your account in every signing, but the template needs to be built first if you do send it, for our system to recognize what it is, where to place the signatures, and where the Avatar should speak. If you attempt to send a PDF to SecureClose V3 that has not previously been programmed as a document template, it will increase the document recognition and matching process time and will fail to find a match. Let’s make sure every document is set up first! Once you have a document template set up, you may send the same document endlessly without ever having to re-program the signatures or script! This way you can ensure a signature will never be missed when using this form, and that every client will get the right message, every time.
- Flows: Flows, short for Workflows, are the different signing scenarios you encounter in your daily operations. Think of them as a collection of document templates that define the order in which they are shown to a signer. For example, you may have a Sale flow consisting of a contract, buyer’s order, and arbitration agreement, and a second Lease flow consisting of a Lease Agreement and Itemization of Cost forms. You can include the same document in multiple flows (if, for example, the arbitration agreement is used in both Sale and Lease scenarios), but you want to limit the overall number of documents that are in both flows to assist the system in identifying the correct flow based on the documents.
Documents
Think through all documents that exist in your DMS or Forms Provider that you would like to set up as available templates within SecureClose V3. These are documents that you intend to have signers Sign Electronically using our system, with or without Avatar Explanations.
- Export: In your DMS or Forms Provider export (or print to PDF) all documents that you would like to have set up in SecureClose. If you are using a Windows-based PC, Microsoft Print to PDF should be available to you by default. If you need help with this, please contact your project manager as soon as possible – the onboarding project cannot commence without this export.
- Ensure All Forms: Typically, a dealer will view an actual production deal in their system and print all documents for that customer to a PDF to provide to SecureClose. Please be aware – the deal you select may not include all the forms you want, including the Cobuyer documents, etc. Please make sure that you include ALL PDFs you’d like programmed.
- Checklist: Once we have received all PDFs from you, we will provide you with a Document Checklist listing every document to be programmed for you to approve.
Flows
After you have defined all of your necessary documents, we will work with you to assign them to their correct Flows in SecureClose V3. During the build process, we will typically add all documents to a test flow to review, and when everything is built to your satisfaction, we will help you re-order the flow to best suit your needs!
